Marianna and Rhianna had introduced the idea of an ICON partnership in response to many people citing lack of integration and lack of cohesion among students as a program concern. The partnership is envisioned as an informal agreement between 2 students of different backgrounds to organize meetings 1-2x/month (or as frequently as each pair of students would like) to meet and discuss their own dissertation research and get feedback from another disciplinary perspective.
Students will receive an email with a sign-up sheet soon (the sign-up process will involve questions about student skills, disciplinary background, and what they would want out of a partnership). Planning on having a “coffee date” meeting for the first official meeting of participants.
Plan to have it mentioned/introduced at SIC, which may be a good platform for students to identify potential topics they wish to learn more about. There will be information slides and/or sign-up sheets/box either at the SIC registration area or SIC reception area.
Plan to have it up and running by February.
ICON Town Hall:
The continuing concern listed by students is being uncomfortable with doing integrative work, so that will be the theme of the ICON town hall. Are thinking to have ICON faculty give 5min presentations on what they thought were excellent examples of integrative work, and try to assess what about these projects were integrative. Hoping this will provide students with some clarification on integrative research, and hoping to create a drop box of examples based on this as a resource for ICON students.
Social/outreach events will start again in February
If you have to go through reimbursement office for SIC related expenses email Suraj for the necessary paperwork, etc.
Emily Horton has been working SUPER hard to make the OINC website beautiful with the submitted photos. The rolling photos + previously created ICON photo/video creations can be shared/posted throughout SIC.
Emily will continue working on the website and start reaching out to link the website to other social media platforms, and also for people interested in creating a blog portion of the site.
The SIC symposium program is loaded to the OINC site, and the website link will be added to the SIC program.
Emily is going to contact Abby re: sharing the new OINC website link on the ICON webpage.
Final SIC stuff:
A/V committee: Have been super proactive this year! Morgan will be videotaping and should be around that day, maybe to help set up. Dimensions for the presentations have been sent out to all presenters. Planning on giving a souvenir to Morgan for her help. Sign-ups will be sent out for A/V volunteers and registration volunteers, which will only be needed really during breakfast and lunch.
Culinary committee: Food sign-ups were a little sparse before today, but another reminder was sent out today. There may be some extra money to supplement if needed. Percolators will be picked up by Hannah the day before and she will be setting them in first thing in the morning. Logistics for food delivery have some final details to be sorted out. Sandwiches, chips, fruit for lunch, pizza for dinner.
Feedback committee: Judges will receive an individual sheet with instructions, which will ideally include separate judging columns for research that has been separate/complete. When you’re giving your talk, it may be good to clarify what stage you’re at in the research process (so that judges score you accordingly).
Registration committee: There are name tags! There will be sign-in sheets, and souvenirs will be out. Package deal for souvenirs? Note: Sarah H. will bring her square for card payments, and we should make sure to have someone ready for Venmo payments and be sure to bring change for cash payments. Michelle will help with souvenir sales. Suraj has a cash box that can be used.
Program committee: Looks great!
Social media: We will use #SIC2018 for the event, which will be advertised on the slides posted throughout the day.
Prospective students committee: There will be a welcome package for incoming students, if you have ideas/things that can be added to this, contact Keysa. There are 4 people staying with different graduate students, and 3-4 students that are coming just for the day of the talks. Keep an eye out for prospective students and chat them up!! Prospective students will be hosted at a breakfast from 8:30-10:00.
After-party: We are trying something new this year: going out downtown instead of having someone host an after party. We will need a finalized plan of when/where people plan to meet downtown. This will be sent out to the ICON student list serv.
Dr. Lave: She’s staying at the UGA hotel, dinner on Thursday is happening at 7pm at the Savannah Room at the hotel. An email will be sent out soon reminding people who signed up.
Publicity committee: SIC program is being sent across listservs. Flyers have been posted.
Reception: Emily H. and David have set up LIVE MUSIC for the reception!! Emily A. will also bring a radio just in case we need/want that. If anyone else wants to sign up to play music please contact Emily H.! Chairs will be available for musicians.
Lights/decoration: Sarah H. will bring some decorations, if anyone else has any feel free to bring them! If you bring decorations, please be prepared to help set them up right before dinner.
Misc: Suraj will book the conference room by the lobby just in case we need to use the chairs in there.
Memorial: Last year ICON started “A Block of your time” tradition that will be continued this year. Emily A. sent out a call for ideas, and one potential is signing up for Campus Kitchen—an organization that is similar to meals on wheels. They use an industrial kitchen, and we could sign up for a night of helping them cook food. Sign-up sheets for this will be available at the reception. This will be communicated via a slide at SIC and on the program. Make sure to sing up if you’re interested!
